Updating of personal documents

Accounts in the EU Emissions Trading System (EU ETS)

To update already submitted personal documents, the following steps have to be taken:

1)  Update of proof of identity (passport, identity card or a document that is accepted as a personal identification document under the national law of the national administrator): you are obliged to notify changes to the Austrian Emissions Trading Registry and to send an original copy, certified by a notary public, of a current valid passport, valid identity card or other valid identity document by post. The date of the certified copy must not be more than three months prior to the date of sending it. . In case the identity document is without an expiry date, documents that were issued more than 10 years ago cannot be accepted. Documents for which the certification note is made by means of an electronic notarial certification signature have to be sent by e-mail.

Please note that in this case an update of the personal details held in the Union Registry is required (see Section: Updating of personal details in the Union Registry).

2)   Update of the evidence supporting the address of the permanent residence: you are obliged to notify changes to the Austrian Emissions Trading Registry and to send, either by post or electronically, a document that confirms your current residential address (original document or copy, or pdf). If the document confirming the permanent residence has not been issued in Austria, you must provide – by post - an original recent (less than three months old) document, or a copy certified by a notary public. If the main residence is in Austria and the data is available in the central residence register it is not necessary to submit a proof.

3)   Update of the criminal record certificate: you are obliged to notify changes to the Austrian Emissions Trading Registry and to send a current criminal record certificate either by post or electronically. If the criminal record certificate has not been issued in Austria, you have to provide an original recent (less than three months old) document, or a copy certified by a notary public.

Note: Regulation (EU) 2019/1122 stipulates that criminal record certificates may no longer be retained by the Austrian Emissions Trading Registry. This means that any criminal record that has ever been submitted will be physically deleted from the archives/files of the Austrian Emissions Trading Registry on an ongoing basis from January 2021 onwards, and only a few details of updated criminal record certificates that are relevant to account management will be documented.
